The main terms for using Reqora as a live B2B SaaS product.

Service scope

Reqora provides a focused workflow for creating document requests, collecting client uploads through secure no-login links, sending reminders, reviewing uploaded files, completing requests, and managing subscription billing.

B2B use only

Reqora is intended for professional use by accounting and bookkeeping firms and their authorised staff. It is not consumer software, accounting software, full practice management software, a broad client portal, or an OCR or AI classification tool.

Workspace accounts

The workspace owner is responsible for team access, plan selection, billing management, client records, request content, and the accuracy and legality of information entered into the service. Staff users must use the service only as authorised by their workspace.

Plans and seat limits

Reqora plans are monthly and differentiated by workspace seat limits. Solo Accountant includes 1 seat, Small Practice includes 3 seats, and Firm Team includes 10 seats. Reqora may block new invites or operational access when a workspace exceeds the seat limit of its current plan.

Client documents

You are responsible for the files, personal data, and other content your workspace requests, uploads, stores, reviews, or shares through Reqora. You must have a lawful basis and any required authority to request and process client documents.

Acceptable use

You must not use Reqora to upload unlawful content, malware, spam, or material that infringes third-party rights, or to attempt unauthorised access, interfere with the service, bypass security controls, or misuse secure request links.

Availability and changes

Reqora is provided as an online SaaS product. We aim to keep the service reliable, but availability may be affected by maintenance, incidents, third-party providers, or changes needed to operate and improve the product. We may change or discontinue features while keeping the product within its focused scope.

Billing, trials, and cancellation

Paid access uses Stripe subscription billing with monthly plans and a 30-day free trial where offered. The workspace owner is responsible for selecting the plan, keeping billing details current, reviewing invoices, handling VAT or tax details, and cancelling or changing plans through billing settings or Stripe.

Data processing terms

For client contact details, request content, uploaded documents, notes, and activity records entered by a workspace, the workspace owner is the controller and Reqora is the processor. Reqora processes that data only to provide, secure, support, and improve the service, on the workspace's documented instructions, unless law requires otherwise. Reqora will assist with data subject requests, security obligations, breach handling, and deletion or return requests in a manner proportionate to the service.

Subprocessors

Reqora uses subprocessors to operate the service, including Supabase, Vercel, Stripe, and Resend. These providers are used for hosting, storage, authentication, billing, and email delivery. Reqora remains responsible for choosing providers that support appropriate confidentiality, security, and data protection commitments.

Security

Reqora uses technical and organisational measures designed for a focused document collection workflow, including workspace isolation, private file storage, secure request tokens, role-based access, and server-side validation. You remain responsible for your users, devices, passwords, client instructions, and the content you request or upload.

Support

Support is provided through the support routes and contact email shown in the product. Reqora may use support, bug report, and feature request content to investigate issues, answer questions, and improve the product.

Suspension and termination

Reqora may limit or suspend access when billing is inactive, a workspace exceeds plan limits, there is suspected abuse or security risk, or continued use would create legal or operational risk. Workspace owners can stop using the service and may request deletion or export of workspace data, subject to legal retention obligations.

Intellectual property

Reqora and its software, design, branding, and documentation belong to Reqora or its licensors. You keep responsibility for and rights in your workspace content and client documents, subject to the rights needed for Reqora to provide the service.

Changes to these terms

We may update these terms when the product, legal requirements, providers, or business terms change. The latest version is published on this page with the updated date above. Continued use after an update means the updated terms apply.

Governing law

These terms are governed by the laws of Luxembourg, unless mandatory applicable law provides otherwise. The courts of Luxembourg have jurisdiction, unless mandatory applicable law requires another forum.

Liability

Reqora is provided as a live B2B SaaS product. To the extent allowed by applicable law, Reqora is not liable for indirect or consequential damages, lost profits, lost revenue, lost goodwill, or losses caused by customer content, customer instructions, third-party services, or unauthorised use of accounts. Nothing in these terms limits liability where the law does not allow it.
